Personal data we process
You do not need any personal details to log in to and use Qiicode: your key code and password are enough. We do process data in the following situations:
- Ordering: name, address, postcode, city and email address.
- Paying: payment goes through Mollie. We receive the status and a reference, no bank details.
- Sending a message as a finder: the text, place found and collection point you enter. Only include what you want to share.
- Copy or discount code as a finder (optional): your email address. It is deleted after sending and is not kept with your message or the key code.
- News and updates (optional): your email address, language and the time of consent and confirmation. This list is kept separate from key codes, messages and orders.
- Linking an email address as an owner (optional): your email address and language. This links a personal detail to your key code.
- Finder's note (optional): the text you write. Anyone with your key code can read it, so do not include personal details.
- Technical data: IP address and browser details, for security and limits against abuse.
Special and/or sensitive personal data
Our website and service do not intend to collect data about visitors under the age of 16, unless they have permission from a parent or guardian. However, we cannot check whether a visitor is over 16. We therefore advise parents to be involved in their children's online activities. If you believe we have collected data from a minor without that permission, email info [at] qiicode.nl and we will delete this information.
Purposes
We process personal data to:
- handle your order and payment and deliver the keychain (performance of the contract);
- pass on messages from finders and, if you have set this up, forward them by email (performance of the contract);
- send a copy and discount code, and news and updates if you have given permission (consent);
- comply with the tax retention obligation (legal obligation);
- secure the website and prevent abuse (legitimate interest).
Automated decision-making
We do not make decisions about people that are made solely by computer programs and have (significant) consequences for you. Limits against abuse can temporarily stop an attempt.
How long we keep personal data
| Data | Retention period |
|---|---|
| Messages | Until you delete them, until they drop off when there are more than 50 messages, or 24 months after receipt if you have not logged in during that period |
| Finder's note and owner's email address | Until you change or delete them, or deactivate the card |
| Finder's email address | Deleted immediately after sending |
| News list | Until you unsubscribe; unconfirmed addresses 7 days |
| Order details | 7 years, because of the tax retention obligation |
| Unpaid orders | 90 days |
| Technical logs | 30 days |
| Backups | 35 days |
Sharing personal data with third parties
We only provide data to third parties if this is necessary to perform our contract with you or to comply with a legal obligation. We work with Mollie (payments), Mailtrap (sending email) and PostNL (delivery). We do not sell your data.
An email containing a finder's message is also held by your own email provider. If you delete a message on our website, that email does not disappear from your mailbox.
Cookies and visitor numbers
We only use functional cookies, see our cookie policy. To know how many visitors the site has, we count unique visitors per day, without cookies and without an external service. For this, we turn your IP address and browser details into an unreadable code using a secret value that changes every day. That code is deleted at the end of the day; only the daily total is kept.
Viewing, changing or deleting data
You have the right to view, correct or delete your personal data. You can also withdraw consent, object to the processing and request data portability. You can send a request to info [at] qiicode.nl.
To be sure the request comes from you, we may ask you to confirm it from the email address known to us. We do not ask for a copy of your ID. We respond as quickly as possible, and within four weeks.
You can also file a complaint with the Dutch Data Protection Authority: autoriteitpersoonsgegevens.nl.
How we protect personal data
We take appropriate measures against misuse, loss, unauthorised access, unwanted disclosure and unauthorised changes. If you feel your data is not properly secured, or there are signs of misuse, email info [at] qiicode.nl.
